At Craft, documents are at the heart of everything we do. We’re excited to introduce Task Management enhancements—features that make it easier than ever to surface and manage tasks across your documents, ensuring your tasks remain connected to the content they belong to, without disrupting your flow.

Overview of the New Task Features

The new Tasks Overview will bring any document containing tasks to the surface, providing a centralized view for managing all your tasks across projects. You can see the list of tasks and pinned documents right from this interface, without needing to dive into each document.

Inbox: Capture and Manage Tasks Effortlessly

The Inbox is inspired by the Getting Things Done (GTD) framework. It’s your space to quickly capture and organize tasks outside of documents. Tasks in the Inbox can be moved to any document later when you’re ready.

  • Add new tasks without a document: Quickly jot down tasks without tying them to a document.
  • Set start dates: Schedule when a task should appear in the Calendar View to keep tasks aligned with your daily priorities.
  • Add deadlines: Assign deadlines, though note that deadlines do not trigger notifications or appear in the calendar for now.
  • Define task location: Choose to keep tasks in the Inbox or add them directly to any document. If added to a document, the task will appear at the top.
  • View options:
    • Scheduled tasks: Decide if you want scheduled tasks to appear in the Inbox.
    • Completed tasks: Enable to view or hide completed tasks.

Tip: The Inbox is great for quickly capturing tasks when you’re in meetings or on the go, giving you time to sort and categorize them later.

This simple flow gives you a structured way to stay on top of your responsibilities and keep your tasks organized as you progress through your day.

Pinned Documents for Quick Access

Do you have certain documents that you frequently reference or update? Now you can pin documents in your Tasks Overview for quick and easy access. Whether it’s a project plan or a running to-do list, you can keep your most important documents within reach.

  • Pin documents: Easily pin priority documents.
  • Search or drag: Quickly find or drag documents to the pinned section.
  • Manage tasks directly: Mark tasks as done, uncheck tasks or add new ones.
    • Schedule and set deadlines: Scheduled tasks from pinned docs will appear in the Calendar View under the relevant date.
    • Solve/unsolve tasks: Mark tasks as done directly in the pinned doc section or calendar.
  • Move tasks: Move tasks from a pinned document to the Inbox if needed.

Tip: Use Pinned Documents to keep project plans or frequently referenced documents in one place for quicker task management.

Docs with Tasks: Surface Task-Heavy Documents

This section displays all documents that contain tasks, ensuring no task is left forgotten.

  • Enable daily notes or completed docs: Toggle whether daily notes or documents with completed tasks appear.
  • Task management: Click on a document to view, manage, and update tasks.
    • Mark as done or cancel: Easily mark tasks as done or canceled. Once done, the completion date will be recorded.
    • Manage tasks: Move, delete, or cancel tasks directly from the list.
    • Open the document: Jump directly into the document to view it in full context.

Tip: Use this section to quickly review all documents with open tasks, helping you prioritize what needs to be done next.

With these features, Task Management in Craft keeps your tasks connected to the documents they belong to, while giving you flexible ways to manage and prioritize your work without any context switching.
